Your race is just around the corner so here is some important information as the day draws near.
Your timing crew will arrive at the race site approximately two hours before the race to set up and be ready for race day registrations.
We ask that someone be there to show us exactly where you would like your start/finish line to be located.
Unless are using RunSignUp as your on-line registration site, and listed Commonwealth Timing as your timer we will need for you to email your race spreadsheet to me (reid.sowder@commonwealthtiming.net) at least 48 hours before the start of the race.
Please email us a minimum of 5 columns. Column 1) Bib Number - Column 2) First Name - Column 3) Last Name - Column 4) Gender- and Column 5) Age. You can add additional columns such as city and team if you would like them included on the results report that will be posted on our website.
Any additional registrations that you receive after emailing your database to me needs to be kept on the race day registration sheet please (see the link below). You need to give the sheet to your timing crew on race day morning when we arrive so we can input additional runners to the timing system.
In addition, please print 8 or 10 copies of the race day sign-up sheet for your registration personnel to use for sign ups on race day. Once you have 8 or 10 names on the sheet, please have someone run it over to the timing tent so we can enter the information into the timing system.
We strongly encourage you to send an email to all of your runners to let them know that the results will be posted at www.commonwealthtiming soon after the race is completed. Runners like to know where they can find their results
It is important that your runners and registration personnel know the correct way that participants should wear their race bibs for the best possible accuracy. Bibs should be worn on the outside of all clothing, in front, at chest level in order to receive the best timing results.
We will need two volunteers approximately 30 minutes before the race to help us on race day. One volunteer will be our official photographer (we provide the camera) and one will be an all-purpose volunteer. We will clearly explain their duties and they will be simple. The only lifting involved will be a camera and clipboard.
Please take a few minutes to respond with the exact way that you would like your awards broken down. Example – Top 3 male and female runners overall and the top 3 male and female age group winners in the following age groups – 1-14; 15-19- 20-29; 30-39; 40-49; 50-59 and 60 and over. It is customary to exclude the overall winners from the age group awards but you can customize the awards the way you would like it. Please let me know how you would like your awards presented. PLEASE BE SPECIFIC
If you have more than one race scheduled on race day, please let us know the race name, distance, time of the start and if there are any awards for that particular race. Example: 5k and 10K, 5k and kids fun run (timed or not timed) ect
We are excited to be a small part of your great race. If you have any questions or need help in any way, please contact me. We will see you at the start line!
